Phase two: implementation

Getting your vehicles on the road

Following completion of the initiation phase, you will be ready to move on to implementation. 

There are four steps in this phase which we will use to lead you to the successful “go live” of your commercial vehicle fleet with us. Please use the quick links below to learn more about each step in the process.

1. Implementation manager assigned

At this stage, you will be designated your own implementation manager, who is responsible for project managing this phase by working closely with our internal implementation team. This team is comprised of representatives from various parts of our business, each with differing areas of specific knowledge and expertise. The implementation team will work together with your implementation manager to take you through this transition stage as smoothly as possible.

Start up meeting:
From the conclusions drawn from the initiation phase, the implementation manager will compile a plan according to your fleet’s specific needs. A “start up” meeting will be held, where the implementation manager will allocate responsibility for all actions on that plan to the relevant members of the implementation team.

2. Customer account manager assigned

In addition to a dedicated account manager and implementation manager, we will also assign a customer account manager and dedicated customer services team to work with your business throughout your time with us.

Your customer account manager will be stationed permanently within our business and is responsible for ensuring the smooth running of your account. They will liaise between you and our internal departments to make sure that deliverables are completed to plan and that Hitachi Capital is continually adding value to the running of your fleet. The customer account manager will also manage your dedicated customer services team, who are responsible for dealing with incoming enquiries from drivers on a daily basis.

Our job certainly won’t end just because you’ve signed on the dotted line; we will constantly look for ways to improve the management of your fleet and we will be proactive in our approach when working with you.

3. Workshops

 

After the start-up meeting the implementation team will run the first process workshop with your key stakeholders, to fully map out the requirements of your fleet. This will enable our team to further understand your fleet’s needs and also allow for any discrepancies in your current processes to be mapped out and addressed as necessary. The workshop will ensure that the implementation process will run as smoothly as possible for all parties concerned, by setting out achievable timescales for each of the deliverables.

In addition, the implementation manager will also run a separate reporting workshop with you, where your reporting requirements can be discussed and an appropriate format designed and agreed by all.
 
Within this phase, later process workshops will continue to be carried out and will also be attended by members of your dedicated customer service team. By being involved at this stage, the team will be able to grasp a clear understanding of your business needs in order to best assist your drivers in the future.

4. Vehicles built

Once workshops have been completed and the implementation manager has put in place the final project plan, the next stage of the process is to build your vehicles. This is often a complex process that requires close management to ensure it is completed on time and to the expected high standards.

Our internal build management team will place orders for the vehicle chassis and ancillary equipment from the manufacturers. Any one build might require input from up to seven suppliers, so the process is very tightly managed by our comprehensive e-procurement system. This system enables the build management team to report back to you at agreed intervals the progress of your build. As well as positive progress reports, in the unlikely event of any unforeseen setbacks or delays, the team will ensure you are kept informed and up to date.

 
Timescales for a build can be as short as two weeks for a basic vehicle or anything up to a year for a more complex build. Due to their extensive relationships and experience in this field, the build management team will work with your account manager to ensure that your delivery expectations are accurate and completion deadlines are met.

We will manage the entire build process for you so that you can benefit from peace of mind as well as the positive and long standing relationships we have with our extensive network of body builders, ancillary manufacturers and suppliers, to bring together all required elements for the build. Along with our specialist knowledge of your industry sector, combined with our growing network of UK garages, we will ensure that the vehicles on your fleet are constructed with the best materials, from the most trustworthy suppliers, to the highest level of quality.

Once this stage is complete, you will be ready to move on to phase three: in-life vehicle management.
